THE CHALLENGE
BAPS Australia, operating multiple mandir centres, coordinated room bookings, event logistics, volunteer rosters and maintenance through spreadsheets and messages. Double-bookings, unclear approvals and missed handovers were a weekly reality.
WHAT WE BUILT
A Laravel 12 operations platform: organisations, centres and departments with scoped roles; event scheduling with rooms, approval workflows, recurrence and per-event task runbooks; volunteer rosters with slots, shifts and assignments; maintenance requests with priorities and attachments; templated notifications with queued delivery; PWA push; and Google/Microsoft single sign-on.
WHAT THE SYSTEM DOES
- Books rooms and schedules events with approval workflows and recurrence
- Rosters volunteers into slots and shifts with clear assignments
- Tracks maintenance requests from report to resolution with attachments
- Notifies the right people through templated rules, email and push
- Scopes what each person can see and do by centre, department and role
SERVICES
Custom web application development · Workflow automation · Ongoing support
What problem does this operations platform solve?
It replaces the spreadsheets and message threads that multi-site organisations use to coordinate rooms, events, rosters and maintenance. At BAPS Australia, running several mandir centres that way meant double-bookings, unclear approvals and missed handovers most weeks.
The platform puts all four in one place: room bookings and event scheduling with approval workflows and recurrence, volunteer rosters with slots, shifts and assignments, and maintenance requests tracked from report to resolution with attachments.
How does it keep multiple centres straight?
Through scoped roles. The system models organisations, centres and departments, and what each person can see and do is limited by their centre, department and role — so a volunteer coordinator at one centre isn’t wading through another’s roster.
Sign-in uses Google or Microsoft single sign-on, and notifications go out through templated rules with queued delivery, by email and PWA push. Per-event task runbooks mean the same event doesn’t have to be reinvented each time it runs.
Could something like this work for your organisation?
It was built as a custom Laravel 12 application, which is the approach we take when off-the-shelf tools can’t match how an organisation actually runs. The engagement covered custom web application development, workflow automation and ongoing support.
