THE CHALLENGE
BAPS Australia depends on a membership database that has run for years: member and family records, event attendance, outreach coordination and communications. It has to keep working — and keep growing — without disrupting the community that relies on it.
WHAT WE BUILT
We operate, harden and extend the system: member records with family and household linking, events with attendance and registrations, outreach pairing organised by zone, QR passes and invitations, exports and reporting, and MailChimp-integrated mail-outs.
WHAT THE SYSTEM DOES
- Holds member and family records with household linking
- Runs events with attendance tracking and registrations
- Coordinates outreach by pairing volunteers with member zones
- Generates QR passes and invitations for events
- Reports, exports and mail-outs through MailChimp integration
SERVICES
System maintenance & extension · Database management · Integrations
What does the outreach CRM actually do?
It holds member and family records with household linking, so people are managed as families rather than disconnected rows. Events run through the same system, with attendance tracking and registrations, plus QR passes and invitations for the day itself.
Outreach is coordinated by pairing volunteers with member zones, and communications go out through MailChimp integration. Reporting and exports sit on top, so committee members can pull the numbers they need without going back to a developer.
Can you take over a database that’s already running?
Yes — that’s what this engagement is. The BAPS Australia membership database has run for years, and our job is to operate, harden and extend it rather than replace it. New capability gets added without disrupting the community that depends on the system week to week.
For an organisation weighing up a rebuild, this is often the cheaper and safer path: keep the history and the habits, fix the fragile parts, then grow.
The services behind it
This outreach CRM is covered by system maintenance and extension, database management, and integrations — the same three things most long-running community systems need once the original build is done.
If you’re running a membership or volunteer database that no one currently looks after, tell us what’s happening with it. We reply within one business day with a clear next step, and fixed-price quotes are given in writing.
